The freebusy publishing is done by the clients. The Outlook client will publish by default every 15 minutes the freebusy data to the server for the next 2 months. The WebAccess and mobile devices will do this directly when a new appointment is created for 6 the next months.

When the 2 months publishing period in Outlook is too less, you can manually change the time in the Outlook calendar settings. To change this setting globally for all users within the organisation, the following registry key can be deployed:

For Outlook 2003:

HKEY_CURRENT_USER\Software\Microsoft\Office\11.0\Outlook\Preferences\FBPublishRange
DWORD: <amount of months>

For Outlook 2007:

HKEY_CURRENT_USER\Software\Microsoft\Office\12.0\Outlook\Preferences\FBPublishRange
DWORD: <amount of months>
